Partner and Team Assistant:
The Internal Firm Services Team within our Vancouver office is in search of a bright, efficient, mature and highly experienced Partner and Team Assistant to support our Deals practice for a 13 month contract.
As a Partner Assistant you will liaise with Managers and Partners within the following areas:
· Administrative –Manage calendars, book travel arrangements, prepare expense reports, arrange conference calls, file, photocopy, scan, coordinate logistics and materials for internal and external meetings, and perform other related administrative duties as required.
· Document production – Draft standard and non-standard correspondence/documents using Microsoft Word, Excel and PowerPoint (i.e. reports, presentations, and other documents) that display accurate typing, editing (spelling, proofreading, punctuation and grammar) and consistent formatting that adheres to brand standards. Coordinate with other departments to ensure the timely production of documents when needed.
· Billing – Set up new clients, prepare bills and complete any corresponding system entries, and regularly report work in process and cash collection activities.
Requirements:
To be successful in this role you will have the following –
Technical Skills & Experience:
· A minimum of a high school diploma; post-secondary studies in Office or in Business Administration would be considered an asset.
· Minimum of 3 years of successful experience in an administrative role, preferably in a professional services (i.e. legal or accounting) environment, supporting multiple people.
· Advanced skills in the use of MS Word, in addition to strong MS Excel skills, and PowerPoint.
· Strong time management, diary management and event co-ordination skills.
· A flexible schedule that can accommodate you working overtime when required.
